Who we are

Community Ideas Hub (“we”, “us”) collects and manages submissions to help improve local services and community spaces in the UK. Contact: community@example.org.

What we collect

  • Contact details: email (required) and name (optional).
  • Location: your UK city or town.
  • Submission content: idea title, details, chosen category/tags, and any attachments (images/PDFs you upload).
  • Technical data: IP address, device/browser details and basic diagnostics captured by our hosting/analytics to keep the service secure and reliable.

Why we use it (lawful bases under UK GDPR)

  • To receive, review and manage community suggestions (legitimate interests).
  • To contact you with updates about your submission (consent).
  • To protect the service from abuse, spam and misuse (legitimate interests).
  • To comply with the law or respond to lawful requests (legal obligation).

How long we keep it

  • Feedback submissions: up to 3 years from the last update, or longer where a proposal becomes an active project.
  • System/security logs: up to 12 months.

We’ll minimise and anonymise data where possible. We delete or anonymise records when they’re no longer needed.

Who we share it with

  • Delivery partners (e.g., local authorities or trusted community organisations) when needed to assess or deliver a project.
  • Our service providers (e.g., hosting, email, analytics) under contracts that protect your information and restrict use.
  • Law enforcement or regulators where we’re legally required to do so.

We never sell your personal information.

International transfers

We aim to store data in the UK/EEA. If information is transferred abroad, we use appropriate safeguards (such as the UK International Data Transfer Agreement/Clauses) to protect it.

Your rights

You have rights over your data, including access, rectification, erasure, restriction, objection and data portability. You may also withdraw consent at any time (this won’t affect processing before withdrawal).

To make a request, email community@example.org. If you’re unhappy with our response, you can complain to the Information Commissioner’s Office (ICO).

Cookies & analytics

We use essential cookies to make the site work. Optional analytics cookies (if enabled) help us improve the service. The Vision video is delivered from our own media server; it does not set third-party tracking cookies. You can control cookies through your browser settings.

Children

This service is intended for general audiences. If you believe a child under 13 has provided personal information without consent, please contact us and we’ll delete it.

Security

We take appropriate technical and organisational measures to protect your information (e.g., access controls and encryption in transit). No method is 100% secure, but we work to keep your data safe.
